Coaches’ Checklist
- Please forward any physicals, parental permission forms, birth certificates or SPAA substance abuse forms you may receive to the Athletic Director. DO NOT allow athletes to participate in practices or games until these forms are filed. Data verification sheets will be distributed to head coaches after rosters are turned in to the Athletic Director’s office.
- Turn in rosters to the Athletic Director as soon as they are available. The Athletic Director’s office must file eligibility forms with the SPAA before your first playing date.
- Have student-athletes complete and return signed data forms to you. These signed forms must be on hand for all practices and games.
- Turn in your game and practice schedule and a sample practice plan to the Athletic Director’s office before your team’s first playing date.
- Turn in early dismissal requests to the Athletic Director at the beginning of your sport season.
- Notify the Athletic Director of any playing dates where security and considerations for event parking are needed.
- Complete SPAA special events forms for tournaments and/or playoffs that you host.
- Check and replenish first aid kits before the first practice.
- Hold a preseason meeting with your team and their parents to communicate all athletic department and sport-specific policies. Direct particular attention to the SPAA requirements (annual physical, birth certificates, parental permission, eligibility and training rules), academic policies, school absences policy and zero-tolerance policy for conduct violations. Have parents proof, correct if necessary and sign data information sheets and conduct agreement. Notify the Athletic Director and WBC of the preseason meeting date.
- Select and meet with your liaisons and define their responsibilities (i.e., assign workers for gate and concession, spirit days, team picture buttons, etc.). Forward the names of your liaisons to the Athletic Director’s office. Remember to not assess parents for team gifts, etc.
- Arrange a picture date for the team, individual players and coach.
- Read the SPAA handbook carefully, especially the sections that apply to your sport and eligibility. If you have any questions regarding a student’s eligibility, see the Athletic Director BEFORE you allow him/her to play in a game.
- Review the TES Athletic Handbook and your job description.
- Keep accurate team records and turn them in to the Athletic Director at the season’s end.
- Order any individual awards through the Athletic Director at the season’s end.
- The head coach is responsible for keeping accurate records of all uniforms and equipment issued. If you have difficulty collecting items, notify the Athletic Director with the student’s name, grade and the cost of the missing articles and the School will bill the parents.
- Complete evaluation forms and schedule a meeting with the Athletic Director for a personal evaluation.
- Please make plans to attend WBC-sponsored events. The WBC needs your support to remain a viable parent organization.
- Check your e-mail and voicemail at least twice a day. Keep Web pages current and accurate.
- Please send as much information as possible to the Athletic Director’s office via e-mail, especially rosters and schedules. It helps us a great deal.
